Overview

AE Live covers a range of tournaments for major clients which take place around the world. They differ in scale and complexity, and each brings its own challenges whereby pre-defined scope can often change. For these events to be delivered successfully, it’s imperative we are organised, communicate well and are adaptable.

The Project Manager is responsible for the planning and day-to-day management of each specific event and the role of a Project Co-Ordinator is to assist with these duties. As well as tracking all key milestones, you will need to understand all services and deliverables that AE Live provide and assist with on-site delivery and roll out. Specific knowledge will come with training but the role benefits from an initial grace period whereby the successful candidate will work directly into a lead PM, meaning responsibilities will increase with time.

This position will ultimately be client facing with you working alongside senior Project leads as well as the wider departments within AE Live. The Project Co-Ordinator will assist with major events but will be required to take the lead on smaller events when planning and schedules collide.

Key Responsibilities

  • Assist the wider Project team in the planning and delivery of an event to include attending meetings, note taking, etc.
  • Be a key point of contact for the client when they deal with AE Live.
  • Co-ordinate all departments within AE Live to plan and deliver the agreed services for each event.
  • Assist with the development of our solutions and the planning of our workflow for any event.
  • Liaise with the client and internal operational teams before, during, and after each event, to ensure that the graphics production process runs smoothly.
  • Assist with on-site delivery and roll out of our services at events around the world.
  • Play a central role in monitoring the quality of AE Live’s graphics output.
  • Take feedback from the client and operators to ensure improvements and corrections are made.
  • Attend specific test events and help pull together AE Live’s wider testing plan, ahead of each event.
  • Update and contribute to all documentation such as Style Guides, Call Sheets and Risk Assessments, ensuring they are produced and circulated internally and externally as required.
  • Ensure all Project documentation is saved to our shared central storage account.
  • Input all relevant jobs and resource requirements into the company booking system, in a timely manner, so all departments can plan and assign resources.

    • Key Relationships

    Project Managers, Production Director, Global Operations Director, Operations Manager, Asset Manager, Product Manager, Software, Design & Engineering departments plus all Graphics Operators.

    The ideal candidate must

  • Have a minimum of 3 years’ experience working in TV Graphics, though we are happy to receive applications from those who feel they can credibly demonstrate the requisite experience in other ways.
  • Have a good understanding of TV graphics systems, the workflow and equipment used.
  • Have a passion for Sport.
  • Be organised, enthusiastic and motivated with a pragmatic approach to solving issues.
  • Show an ability to prioritise with excellent communication and time management skills.
  • Demonstrate the ability to manage a team but be able to work with others towards achieving a collective goal.
  • Be able to work in high pressure situations.
  • Have a strong command of the English language and a keen eye for detail.
  • Be willing to work flexible hours, which will occasionally include weekends.
  • Be prepared to travel and work overseas.
  • Have a full UK driving licence.
